How to Download: Creating a Roster and Downloading from myUCF Grades

*** Some instructors currently obtain their class rosters using myUCF. While that information is accurate, students are identified and organized by PID, whereas the reporting function in myUCF Grades relies upon NIDs. To keep your gradebook at home interfacing correctly with myUCF Grades, it is necessary to generate the gradebook using myUCF Grades.

*** We recommend that instructors utilize myUCF Grades as a reporting tool only. It's a good idea to keep a “Master Gradebook” separate from myUCF Grades online).

1. Click the desired course from the window on your portal homepage labeled as myUCF Grades.

2. Locate the field named “Records” near the top left. Pull down the menu and select “download,” then click GO.

3. Leave the record separator at the default “comma”. Click DOWNLOAD. (Note: if you have a popup blocker installed, it may prevent download. Click BACK, hold down the CTRL button and click DOWNLOAD again. Remember to hold down the CTRL button for the next step as well). A popup window should appear with the choice of download or save to disk. Click “save to disk” and select a location on your computer you can find again. Do not yet click the button to save.

4. It is possible to save the file as-is (a .txt file) and then import it to Excel. But it's simpler to just rename the file as you save it. Remove the .txt extension and type instead .csv at the end of the filename. It is preferable to change the default first part of the filename to something more specific, such as BSC2010_2006-08-26.csv, which will enable you to be quite certain what this file contains only by looking at its name. When the file is correctly named, click the SAVE button.

5. Double-clicking the file should open it with Excel automatically.

6. You should see names and ID numbers only on this spreadsheet. Add a column for each assignment or event that will be graded, inputting grades in whatever fashion you want (grades, numbers, percents) and also performing any desired calculations (see the section on “Using Excel Gradebooks”).

7. While saving the file as .xls is feasible, to upload it later it needs to be in .csv format, so if possible use this naming convention throughout. If a warning pops up about formatting, click YES.
