Security Policies

The use of classroom response systems requires an extra level of caution in the protection of student information. For the 2006/2007 academic school year, both laptop and classroom console computer users should store student rosters on their CPSonline accounts. While CPS will need to be run locally, student data should never be stored permanently on personal laptops or classroom computer consoles. Within each account, student information should be maintained in class databases that are password-protected. At this time, eInstruction does not automatically prompt users to create a password for their class databases. To secure your class database on CPS, please refer to the instructions below.

To comply with FERPA protection requirements you must not allow student data to be stored on console computers.

If you choose to use a laptop for operating the classroom response system, please take extra care to ensure this information is protected from outside parties. A few basic steps in safeguarding student data on your laptop computer include password-protecting your laptop, using PIDs or other pseudonyms rather than student names, and always logging out of your laptop when you leave it unattended.

Creating a Password for Your Class Database:

  1. Open the Classroom Performance System program and your class database.
  2. Click on Settings at the top left of the screen and choose Passwords from the drop-down list.
  3. An Edit Password dialog box should appear. Check the box next to Enable Password Protection for this CPS Database. Create a password, reenter the password, and create a password hint question, if desired.
  4. The next time you attempt to open the class database, you will be asked to first enter this password.

NOTE: You will need to create a password separately for each class database.

If other instructors will be using the classroom response system in your classroom, you will need to first close out the previous database that was accessed. The following are instructions for how you can access your class database after another instructor has used the system.

Accessing Your Class Database:

  1. If an Enter Password dialog box appears, instead of entering your password here, hit Cancel.
  2. Choose Open an Existing CPS Database and click OK.
  3. Choose your class database and click on Open.
  4. Enter your password and hit OK.

A few of the security practices noted above were taken from a list that the UCF Network Operations Center endorses for protecting sensitive data.
